GuildQuality and Zapier

What is Zapier?

Zapier is a tool that can make your different apps work together automatically. With a Zapier account, you can connect your apps to each other to share information seamlessly. For your GuildQuality account, this means you can send us your customer data automatically.

In order to use this, you’ll need a Zapier account. Visit zapier.com to get started. *Note: some CRMs required a premium Zapier account. Please let your GuildQuality account manager know if this affects you.

How does it work?

In your Zapier account, you connect your apps to communicate. Each connection is called a “Zap.” What you do in one app is called the “Trigger,” and what Zapier does is called the “Action.”

Below are some example set ups for popular CRMs as well as Google Sheets. *During setup, you’ll need to have your login credentials ready for all of the apps you want to connect.

Setting up Google Sheets as your Trigger App 

  1. Log in to your Zapier account and click “Make a Zap!”
  2. Name your Zap and choose Google Sheets as your Trigger App
  3. Click “Choose Trigger” to pick which event on Google Sheets will trigger an update to GuildQuality. We will select “New Spreadsheet Row” which means that an event of adding a new spreadsheet row to the Google sheet will trigger Zapier to send the customer data from this new row to GuildQuality. Click “Save and Continue.”
  4. On the Choose Account section, click “Connect a New Account” or choose an existing account setup. Zapier will securely authenticate your Google Credentials. Click “Save and Continue.”
  5. On the Edit Options step, choose the Google Spreadsheet and Worksheet where the customer data will reside and click Continue. *We suggest naming your worksheet ‘Send to GuildQuality’ as you may have multiple worksheets on one spreadsheet. Click here for a Google Sheet set up example.
  6. Create a new spreadsheet row with test customer data. *You must include a column titled Ripe Date and list the date you’d like the survey to be sent. 
  7. Click Fetch and Continue on the Test Step to pull in test customer data.
  8. If the test customer data was pulled correctly and looks good, click Save to move on to setting up GuildQuality as your action (see further below, within this document, for this instruction).

Best Practice: Zapier checks for updates every 15 minutes but it only recognizes when a new row is added vs. when an existing row is updated. We suggest having two worksheets: One where you include projects that may still be waiting on additional contact information and one titled ‘Send to GuildQuality’ that is only updated with a new row when a project has all information on file, is formatted appropriately, and should be sent to GuildQuality.

Setting up QuickBooks Online* as your Trigger App

QuickBooks offers many trigger events and is highly configurable. Here is a basic example, your needs may differ based on your usage of QuickBooks Online.

  1. Log in to your Zapier account and click “Make a Zap!”
  2. Name your Zap and choose QuickBooks Online as your Trigger App
  3. Pick which event on QuickBooks Online side will trigger an update to GuildQuality. This example selects “New Customer” which means that an event of adding a new customer to QuickBooks Online will trigger Zapier to send this new customer to GuildQuality. Click “Save and Continue”.
  4. Authenticate your QuickBooks Online account with Zapier.
  5. Test this step by creating a new customer in QuickBooks. Once you’ve tested and confirmed the data looks correct, proceed to setting up GuildQuality as your action (see further below, within this document, for instruction).

Setting up Salesforce* as your Trigger App

Salesforce’s CRM is complex and powerful. With Zapier, you can send Salesforce data directly to GuildQuality.

  1. Log in to your Zapier account and click “Make a Zap!”
  2. Name your Zap and choose Salesforce as your Trigger App
  3. Pick which event on Salesforce side will trigger and update to GuildQuality. We will select “New Lead” which means that an event of adding a new lead to Salesforce will trigger Zapier to send this new customer to GuildQuality. Click “Save and Continue”.
  4. Authenticate your Salesforce account with Zapier
  5. Test this step by creating a new lead in Salesforce. Once you’ve tested and confirmed the data looks correct, proceed to setting up GuildQuality as your action (see further below, within this document, for instruction).

Setting up GuildQuality as your Action

  1. Add GuildQuality to your list of available Action applications by following this invitation link: https://zapier.com/developer/invite/58731/435f74d7d845327f1691c840096c9d40/.
  2. In Step 2 of creating your Zap, choose GuildQuality as your Action App. You may have to use the search box to find it. If it still does not appear, make sure that you have clicked on the invite link above. Click “Save and Continue”.
  3. Currently, only one Action is available, “Add Project”, make sure it is selected and click “Save and Continue”.
  4. On the next page, click “Connect a New Account” if this is your first time configuring GuildQuality and Zapier.
  5. A popup window will open. Here, enter your GuildQuality API Username and API Password. NOTE: this is not the same as your user login information.
  6. On the Set Up Template step, you will be mapping your Trigger data into the GuildQuality Action. You will also be configuring options on Survey template should be sent to your customers. Your exact mapping will depend on which App is your trigger and your specific configuration. Be sure to complete all required fields. Once you have mapped all of your data, click “Save and Continue”.
  7. Finally, you can click “Test This Step” or “Skip Test and Continue”. If you choose the test option, a new project and survey will be created in your GuildQuality account. (Remember to delete this customer from GQ later if this is a test customer).
  8. If everything was configured properly you should get a “Test Successful!” message.
  9. If you’re ready to make your Zap live, click the toggle button to turn it on. Zapier will let you know how often it will check for the updates on your Trigger side.
